Guidelines for arranging School Parties

Whitby Museum is keen to make its resources available for education and can offer a number of different services. For details, please see web page What Whitby Museum offers Schools 2008. At certain times, the Museum is heavily booked, with as many as 5 consecutive school parties in a day. Please help us to make your visit - and others' visits - successful by following the procedures outlined in these notes.

BOOK IN ADVANCE.
Telephone to arrange a possible date and then complete the booking form with full details, and send it with the cancellation fee of £20 which will be deducted from your entrance fees (£1 per student) on arrival.

CONFIRMATION.
Please make sure you receive confirmation of your visit and your specified arrangements before arriving. Ring 2-3 days before your visit if you are uncertain.

ARRIVE ON TIME so that your own and other people's arrangements are not upset. If you are delayed please ring to let us know. We shall try to make adjustments to accommodate you, but a late arrival may mean shortening your visit.

ALLOW 90 MINUTES FOR YOUR VISIT, planning refreshments and toilet breaks outside this time.

SUPERVISION.
Schools are asked to provide a teacher or other adult supervisor for every 8 students. Supervisors are asked to monitor their 8 students throughout the visit, especially while eating or in the toilets or at the shop.

SPECIAL NEEDS.
Please give us advance indication of any students with special needs so that we can be sensitive to their requirements. It is helpful if they are accompanied by a teaching assistant or other responsible adult.

WORKSHEETS.
The Museum can provide some simple, general worksheets about what is in the Museum, though teachers are advised to visit in advance. The book of worksheets can be obtained @ £6.25 p & p incl.

SPECIAL REQUESTS.
Some schools make requests for particular services to match their curriculum needs, e.g. Talk on Cook, use of the Loan Boxes. The Museum is staffed by volunteers who will try to meet these requests, as long as they are notified on the Booking form.

WORKSHOPS.
These are being developed on themes related to the KS1-3 curriculum and offer a school party about five group activities around which small groups of 5-8 students rotate. Boards, writing implements and worksheets are provided. The cost is £2 per student. Please contact the Education Coordinator, Jill Dalladay, so that arrangements can be made to fit the activities to your needs.

REFRESHMENTS.
A small cafeteria is available. Packed lunches may be pre-booked @ £3.50p. In good weather parties may picnic in Pannett Park. Indoor eating facilities are not readily available for school parties. Please ensure that your refreshment break is taken outside the time booked for your visit.

CLOAKROOMS.
Please follow the instructions given by the Custodians when you arrive. The Museum is trying to improve the arrangements for leaving coats and bags safely. Money and valuables should always be kept by the owner. Please ask students to use the toilets at the main entrance or on the Lower Ground Floor.

THE LIFT is for the use of the elderly and infirm, not for playing!

VOLUNTEER GUIDES.
Parties are welcomed and attended by Museum volunteers, subject to availability. They act as guides, answer questions and help in a general way. The Custodians are registered First Aiders. Students who need their attention should be accompanied by a responsible adult from the school throughout the procedure.
